Key Duties
- Provide comprehensive secretarial and administrative support to the Executive Director & Chief Financial Officer, ensuring efficient management of daily activities and priorities.
- Coordinate departmental, management and committee meetings, including agenda preparation, logistics arrangement, documentation and minute-taking.
- Manage confidential correspondence, reports, presentations and other business documents in a professional and timely manner.
- Maintain effective document control, filing and archival systems to ensure proper record management and regulatory compliance.
- Act as the key departmental coordinator for corporate initiatives and administrative matters, liaising with internal and external stakeholders as required.
- Oversee departmental office administration, including visitor arrangements, office facilities, equipment maintenance, stationery and inventory management.
- Coordinate procurement activities and monitor compliance with company policies, procedures and purchasing requirements.
- Maintain departmental records, including staff attendance, leave administration, contact directories and other administrative information, and perform ad hoc assignments as assigned by the supervisor.
Requirements
- Diploma or above in Business Administration, Secretarial Studies or a related discipline.
- Minimum 5 years' relevant experience in executive secretarial and office administration functions, preferably gained in a sizeable corporate environment.
- Proven experience in supporting senior executives and coordinating management meetings.
- Strong organizational, planning and multitasking skills with the ability to handle competing priorities independently.
- Excellent communication, interpersonal and stakeholder management skills.
- Excellent command of both written and spoken English and Chinese, including Cantonese and Putonghua.
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
- Mature, detail-minded, highly confidential, self-motivated and able to work effectively both independently and as part of a team.
